Documents Required for GST Registration in India: Complete Checklist

GST registration in India depends almost entirely on paperwork. Officers are not evaluating your business idea — they are checking whether your PAN, address proof, bank details and constitution documents line up correctly. Get the documents right, and registration is usually smooth. Get even one mismatch wrong, and you end up with a clarification notice or a rejected application.

This guide lists every document you need, organised by business type, document category and situation, based on the latest CBIC guidelines.

For help with document preparation and application filing, explore our GST registration services.

Documents Required for GST Registration at a Glance

Before applying, keep these ready:

  • PAN card (of the business or the individual applicant)
  • Aadhaar card
  • Passport-size photograph
  • Proof of the principal place of business
  • Bank account details
  • Proof of business constitution
  • Digital Signature Certificate (for companies and LLPs)
  • Authorisation letter or board resolution

The exact combination you need depends on three things: how your business is structured (proprietorship, partnership, company, and so on), what kind of activity you run (regular business, e-commerce, import-export, and so on), and whether your business premises is owned, rented, shared, or home-based. The sections below cover each of these in detail.

If you are unsure which registration category applies to your business, read our guide to the types of GST registration.

Common Documents Required for GST Registration

PAN Card of the Business or Applicant

PAN is the starting point of GST registration, since your GST Identification Number is built around it. A sole proprietor uses their personal PAN. Companies, LLPs, partnerships, trusts and societies must use the entity’s own PAN, not the PAN of an individual partner or director.

Aadhaar Card of Proprietor, Partners or Directors

Aadhaar is needed for the proprietor in a sole proprietorship, for partners in a partnership or LLP, for the Karta in an HUF, and for directors and the authorised signatory in a company. It is also used for Aadhaar authentication during the application, which can speed up approval.

Passport-Size Photograph

A recent photograph is required for every key person connected to the application — the proprietor, partners, directors, the Karta, trustees, or the authorised signatory, depending on business type. The photo must show only that one person’s face, taken recently, and must not be a cropped photo ID or a group picture.

Proof of Principal Place of Business

This proves where your business operates from. Depending on ownership status, this could be a property tax receipt, an electricity bill, a rent agreement, or a consent letter. The exact document required changes based on whether the property is owned, rented, or shared, which is covered in detail further below.

Bank Account Proof

A cancelled cheque, the first page of a passbook, or a recent bank statement works here, as long as it clearly shows the account holder’s name, account number, IFSC code and branch. Bank details are not mandatory at the time of filing the application — you can add them within 30 days of getting registered, or before filing your first sales return, whichever comes first.

Constitution or Incorporation Document

This document proves your business legally exists in the form you’ve declared. A partnership firm needs the partnership deed. An LLP or company needs its certificate of incorporation. A trust or society needs its registration certificate. Submitting the wrong constitution document for your business type is one of the most common reasons applications get delayed.

Digital Signature Certificate, Where Applicable

Companies, LLPs and foreign LLPs must sign their application using a Class 3 Digital Signature Certificate. Sole proprietors, partnerships and HUFs can usually complete the process through Aadhaar e-signature or EVC instead of a DSC.

Authorisation Letter or Board Resolution

Whoever you name as the authorised signatory needs formal proof of that appointment. For a company or LLP, this is a board resolution. For a partnership, trust or proprietorship, a signed authorisation letter from the partners, trustees or owner works. Tax authorities now recommend naming at least two authorised signatories — a primary and a backup — so the process doesn’t stall if one person is unavailable for e-signing.

Documents Required for GST Registration by Business Type

Documents for Sole Proprietorship

  • PAN card of the proprietor
  • Aadhaar card of the proprietor
  • Photograph of the proprietor
  • Bank account details (proprietor’s or the business’s)
  • Proof of the principal place of business

A proprietorship doesn’t need a separate business PAN, incorporation certificate, or board resolution, since the proprietor and the business are legally the same person.

Documents for Partnership Firm

  • PAN card of the firm
  • Partnership deed
  • PAN, Aadhaar and photographs of all partners
  • Photograph and authorisation letter for the authorised signatory
  • Bank account details of the firm
  • Proof of the principal place of business

If the firm has up to ten partners, photographs of all of them are needed. Where there are more than ten, photographs of ten partners are sufficient.

Documents for LLP

  • PAN card of the LLP
  • Certificate of incorporation
  • LLP agreement
  • PAN, Aadhaar and photographs of designated partners
  • Digital Signature Certificate of the designated partner
  • Authorisation form for the signatory
  • Bank account details
  • Proof of the principal place of business

Documents for Private Limited Company

  • PAN card of the company
  • Certificate of incorporation
  • Memorandum of Association (MoA) and Articles of Association (AoA)
  • PAN, Aadhaar and photograph of every director
  • PAN, Aadhaar and photograph of the authorised signatory
  • Board resolution appointing the authorised signatory
  • Digital Signature Certificate
  • Bank account details
  • Proof of the principal place of business

Every director needs a valid Director Identification Number, since this gets checked automatically through the Ministry of Corporate Affairs database during registration.

Documents for Public Limited Company

The document list mirrors a private limited company — PAN, incorporation certificate, MoA/AoA, director details, DSC, board resolution and address proof. The main practical difference is the larger number of directors involved, which means more individual PAN, Aadhaar and photograph submissions to manage.

Documents for HUF

  • PAN card of the HUF
  • PAN and Aadhaar card of the Karta
  • Photograph of the Karta
  • Bank account details of the HUF
  • Proof of the principal place of business

An HUF does not have directors or partners — the Karta represents the family business for registration purposes, which keeps this list shorter than most.

Documents for Trust, Society or NGO

  • PAN card of the trust, society or association
  • Registration certificate or trust deed
  • PAN and photographs of trustees, or members of the managing committee, including the president, secretary or chairman
  • Authorisation letter and photograph of the authorised signatory
  • Bank account details
  • Proof of the principal place of business

Address Proof for GST Registration

Getting this section wrong is the single biggest reason applicants receive a clarification notice, so it’s worth reading carefully.

Documents for Owned Business Premises

Any one of these, in the applicant’s name, showing the full address:

  • Latest property tax receipt
  • Municipal khata copy
  • Latest electricity bill
  • Latest water bill
  • Any document certifying property ownership

Documents for Rented Business Premises

If your rent agreement is registered, a clear copy of that registered agreement is enough on its own. If the agreement is not registered, you need the rent agreement plus one ownership document (like a property tax receipt or electricity bill) in the landlord’s name. If there’s no rent agreement at all, you’ll need a signed undertaking from the applicant along with proof of possession, such as a recent electricity or water bill in the tenant’s name.

Documents for Shared or Co-Working Office Space

If the co-working provider owns the premises, you need the membership agreement showing your allotted desk, cabin or seat, along with an ownership document in the provider’s name. If the provider itself leases the space, you’ll also need the registered lease agreement between the property owner and the co-working provider.

Documents for Home-Based Business

Home-based businesses follow the same owned or rented rules as any other premises. If the home is in a family member’s name and not yours, a consent letter from the owner, along with their ownership proof, is required.

What to Do If the Owner’s Name Differs From the Applicant

This is where most address-related queries come from. If the premises is owned by someone other than the applicant — a parent, relative or any third party — a signed consent letter from the owner is required, along with their proof of ownership. If the owner has passed away and the property hasn’t been transferred yet, you’ll need a copy of the death certificate and an affidavit from the applicant, along with the ownership document in the deceased person’s name.

Bank Details Required for GST Registration

Cancelled Cheque

A cancelled cheque with the account holder’s name printed on it is the easiest proof to submit, since it clearly shows the account number and IFSC in one document.

Bank Statement or Passbook First Page

If you don’t have a cheque book, the first page of your passbook or a recent bank statement works just as well, provided it shows the name, account number, IFSC and branch clearly.

Bank Account Name Matching Rules

The name on the bank account should match the applicant’s name (for a proprietorship) or the business’s name (for other entity types). A mismatch here is a common trigger for queries, so double-check this before uploading.

Can You Use a Current Account or Savings Account?

Yes. Both current and savings accounts are accepted. A savings account is commonly used by sole proprietors in the early stages, while most partnerships and companies open a current account in the business’s name.

What to Do If the Business Does Not Have a Bank Account Yet

This isn’t a blocker. Bank details are optional at the time of filing the GST application. You can add them later, within 30 days of registration or before filing your first GSTR-1 return, whichever happens first.

Aadhaar and Identity Documents for GST Registration

Aadhaar Card Requirements

Aadhaar is required for the proprietor, partners, the Karta, directors and the authorised signatory, depending on your business type. It should be a valid, non-expired copy with details matching your PAN exactly.

Aadhaar Authentication and Its Role in Faster Approval

Opting for Aadhaar authentication during the application lets the system verify identity electronically instead of requiring physical site verification in most cases. This generally results in faster approval timelines.

Alternative Identity Documents Where Aadhaar Is Not Available

Where Aadhaar genuinely isn’t available, other government-issued identity proofs such as a passport, voter ID or driving licence can support the application, though Aadhaar remains the preferred and fastest route.

Documents for Authorised Signatory

The authorised signatory needs PAN, Aadhaar, a recent photograph, and a signed authorisation letter or board resolution naming them for this role. Businesses can appoint up to ten authorised signatories, and naming a backup signatory is recommended so the process isn’t held up if the primary signatory is unreachable for e-verification.

Special Cases: Additional Documents for GST Registration

E-Commerce Sellers and Online Businesses

Along with the standard documents, e-commerce sellers typically need proof of their business activity (such as a marketplace agreement or seller account details) and HSN/SAC codes for the products or services they sell.

Freelancers and Service Providers

Freelancers register as individuals using their PAN and Aadhaar, along with proof of their workspace — which can be their home address, supported by the usual owned or rented premises documents.

Importers and Exporters

Import-export businesses should prepare the GST documents applicable to their business structure. Separately, explore our IEC registration services for import-export authorisation requirements.

Non-Resident Taxable Persons

Non-resident applicants file a different registration form (FORM GST REG-09) and must appoint an authorised signatory who is an Indian resident and not a minor. A passport copy and proof of the business’s existence in the home country are typically needed.

Casual Taxable Persons

Those registering temporarily to supply goods or services in a state where they have no fixed place of business need identity proof, along with details of the temporary place of business they’ll operate from.

Businesses With Multiple Branches or States

Each additional place of business needs its own address proof, submitted separately, following the same owned, rented or consent-based rules as the principal place of business. A single registration can cover multiple places of business within one state, but operating in another state needs a fresh registration there.

GST Registration Document Upload Requirements

Accepted File Formats: JPEG, PNG and PDF

Photographs must be uploaded in JPEG format. Other documents such as address proof, bank details and constitution documents can be uploaded in JPEG or PDF.

Maximum File Size and Image Clarity Requirements

Photographs are generally capped at 100 KB. Most other documents have a limit between 100 KB and 1 MB, depending on the document type. Keep files well within these limits and make sure the text in scanned documents is sharp enough to read clearly.

How to Scan or Photograph Documents Correctly

Use a flatbed scanner where possible instead of a phone camera, since scanned copies tend to be clearer and more evenly lit. If you’re using a phone, photograph the document in good light, keep the camera parallel to the page to avoid distortion, and crop out everything except the document itself.

Common Upload Errors and How to Fix Them

Typical issues include files exceeding the size limit, documents uploaded in the wrong format, photos that are blurry or at an angle, and scanned pages with cut-off edges. Before uploading, zoom into the scanned copy yourself and check that every detail — name, address, numbers — is fully readable.

Common Mistakes in GST Registration Documents

Name Mismatch With PAN Card

Why it causes delay: If your name on the bank account, address proof or Aadhaar doesn’t match your PAN exactly, the officer flags it for clarification.

How to avoid it: Check spelling, initials and order of names across every document before submitting.

Address Mismatch Between Application and Proof

Why it causes delay: The address typed into the application form must match the address shown on your uploaded proof, word for word, including building name and pin code.

How to avoid it: Copy the address directly from your proof document into the form rather than typing it from memory.

Blurry, Expired or Incomplete Documents

Why it causes delay: Officers can’t verify what they can’t read, and an expired bill or outdated document doesn’t count as valid proof.

How to avoid it: Use your most recent bill or receipt, and check image clarity before uploading.

Bank Account Not in the Applicant’s Name

Why it causes delay: A bank account in a relative’s or a third party’s name doesn’t satisfy the bank proof requirement.

How to avoid it: Use an account held by the proprietor or in the registered business name.

Missing Authorisation Letter or Board Resolution

Why it causes delay: Without this document, the system has no formal proof that the named signatory is actually authorised to act for the business.

How to avoid it: Prepare this document early and keep it signed and dated before you start the application.

Incorrect Constitution Document for the Business Type

Why it causes delay: Submitting, say, a partnership deed for an LLP application creates an automatic mismatch with the structure declared in the form.

How to avoid it: Match the document strictly to your selected constitution type — this is listed in the by-business-type checklist above.

What Happens If You Submit Incorrect GST Documents?

Clarification Notice From the GST Officer

If an officer spots a mismatch or a missing document, they issue a clarification notice through FORM GST REG-03, asking you to correct or submit additional proof within a set window.

Application Rejection and Fresh Filing

If you don’t respond to the clarification notice in time, or if the response doesn’t resolve the issue, the application gets rejected. At that point, you’ll need to file an entirely fresh application rather than simply resubmitting documents.

How to Respond to a Document-Related Query

Read the notice carefully to understand exactly which document or detail triggered it. Upload the corrected document or a clear explanation through FORM GST REG-04, within the deadline mentioned in the notice.

How to Avoid Rejection Through a Pre-Submission Review

Before you submit, go through every document one more time: names matching PAN, addresses matching your proof, legible scans, and the correct constitution document for your business type. A short review at this stage saves weeks of back-and-forth later.

FAQs on Documents Required for GST Registration

What are the basic documents required for GST registration?

PAN card, Aadhaar card, a recent photograph, address proof of the business premises, bank account details, and proof of business constitution.

Is Aadhaar card mandatory for GST registration?

Aadhaar is required for most applicants and also enables Aadhaar authentication, which usually speeds up approval. Where Aadhaar genuinely isn’t available, other identity documents can be used instead.

What address proof is accepted for GST registration?

This depends on ownership. Owned premises need a property tax receipt, electricity bill or similar document in the owner’s name. Rented premises need a rent agreement, ideally registered, along with the landlord’s ownership proof.

Can I register for GST using a rented office?

Yes. A registered rent agreement is sufficient on its own. If the agreement isn’t registered, you’ll also need an ownership document in the landlord’s name.

Do I need a Digital Signature Certificate for GST registration?

Companies, LLPs and foreign LLPs must use a Class 3 DSC. Proprietorships, partnerships and HUFs can usually complete the application through Aadhaar e-signature instead.

What documents are required for a private limited company?

PAN card, certificate of incorporation, MoA and AoA, PAN and Aadhaar of all directors, board resolution, Digital Signature Certificate, bank account proof, and address proof of the business premises.

What documents are required for an e-commerce seller?

The standard documents for your business type, plus a marketplace or seller agreement and HSN/SAC codes for what you sell.
